(Note: Messages that look like spam to the server are automatically sent to your webmail spam folder and are not downloaded to your regular email program.)

Email Program Setup

Use the following information to configure your email program:

Server Information

  • Incoming mail server (POP3): pop.gmail.com
    Use SSL: Yes | Port: 995
  • Outgoing mail server (SMTP): smtp.gmail.com
    Use Authentication: Yes | Use STARTTLS (SSL): Yes | Port: 465 or 587

(Note: Using an SMTP server other than this one increases the chances your email will be flagged as spam.)

Login Information

  • User Name: [your username]@meadowsprings.org
  • Password: Enter your email password

Group Emails

Sending email to a broad group? You probably don't need to worry about CAN-SPAM law, but do keep the following tips in mind to ensure more of your emails end up in inboxes and to minimize your chances of ending up on a spam blacklist:

  • Double-check that your email program is configured to use the recommended SMTP server.
  • If emails to a particular address frequently bounce, remove it from your list. Sending lots of messages that bounce makes you look more like a spammer.
  • Provide a clear way to unsubscribe in your footer. If too many people find it easier to use the "Mark as Spam" button in their email program to unsubscribe, it will eventually decrease your reputation with servers.
  • Consider including a physical address (not a P.O. Box) in the footer. This is one more factor that helps spam technicians figure out whether your email is legitimate or not.

(Note: You can send a single message to as many as 100 recipients at a time from your email program or 500 at a time using webmail.)

Alternatively, consider using an inexpensive email sending system like MailChimp which are experts at getting email delivered (as well as having some other nice features like templates and statistics).
